Introduction
This Privacy Policy explains how the Gargoyle Discord bot ("the Bot", "Gargoyle", "we", "us", "our") collects, uses, stores and protects data when you interact with it. Gargoyle is part of SpartanBots, owned and operated by AestheticSpartan. By using the Bot, you consent to the practices described here.
Data Collection
Gargoyle is a support-ticket bot. It collects only what it needs to create tickets, route them to staff, and keep records of resolved conversations: guild configuration (staff roles, channels, ticket categories, intake questions, branding), ticket metadata (IDs, opener and staff user IDs, category, status, timestamps), intake answers, and — on close — an HTML + JSON transcript of the ticket thread with locally mirrored copies of image attachments. The dashboard uses Discord OAuth2 (identify + guilds) so it can show servers you manage. Gargoyle uses the Message Content intent solely to capture messages inside ticket threads for transcripts.
How We Use Your Data
To create, route, claim, escalate, close and reopen tickets; to generate and serve durable transcripts to authorized staff; to render the dashboard and remember your configuration; and to keep basic operational/audit information per guild. Gargoyle does not sell your data, use it for advertising, or process it for anything unrelated to running your tickets.
Data Storage & Security
Configuration and ticket metadata are stored in a PostgreSQL database; transcripts and mirrored media in the operator's configured storage directory. Only Manage-Server admins can configure a guild, and saved transcripts are access-controlled. We apply reasonable measures to protect data, but no online service can be 100% secure.
Third-Party Services
- Discord API & OAuth2 — required for all bot and dashboard functionality.
- Hosting (Railway) & PostgreSQL — store the Bot's data on behalf of the operator.
- Patreon & Ko-fi (optional) — process voluntary contributions; not required to use Gargoyle.
Your Rights & Data Deletion
You can request access to or deletion of your data within a server's tickets by contacting the development team via the support server. Server administrators can manage per-guild configuration and delete tickets/transcripts they control. You can opt out by stopping use of the Bot or having an admin remove it.
Changes to This Policy
We may update this Privacy Policy from time to time. Significant changes will be communicated by updating this page and, where appropriate, via the support server.
