Introduction

This Privacy Policy outlines how the AestherBot Discord Bot ("the Bot", "AestherBot", "we", "us", "our") collects, uses, stores, and protects user data when you interact with our service. Ownership Notice: AestherBot is owned and operated by AestheticSpartan. By using the Bot, you consent to the data practices described in this policy.

Data Collection

The Bot collects and processes the following data to provide its services:

1. User & Server Information

• Discord User IDs: Used for collecting, inventory, economy, leveling, pets, achievements, settings, voting, moderation of game features, and command interactions.
• Discord Server (Guild) IDs: Used for per-server configuration such as spawn channels, announce channels, ping roles, and reaction roles.
• Command Interaction History: Basic information about which commands are used, by whom, and in which servers, used to deliver functionality and improve features.

2. Game & Feature Data

• Collection Data: Your collected items, inventory contents, collection progress, favorites, and wishlist. Stored with your User ID.
• Economy Data: Gold wallet and bank balances, bank upgrade level, P-Coins, transaction history, gambling statistics, and marketplace listings/trades. Stored with your User ID.
• Progression Data: Account level and XP, skill levels and skill XP, achievements, badges, titles, daily/weekly/monthly streaks, and active buffs. Stored with your User ID.
• Pet Data: Hatched pets, hatchery/hospital/workstation state, pet battle records and arena rankings, and pet inventory. Stored with your User ID.
• Farming Data: Farm plots, crops, and growth state. Stored with your User ID.
• Settings & Cooldowns: Per-user preferences (spawn pings, DM reminders, profile customisation) and command cooldown timestamps.

3. Vote Data (via Top.gg)

• When you vote on Top.gg, we receive your Discord User ID via a webhook.
• We store your User ID, the timestamp of your last vote, your current vote streak, and your preference for vote reminders. Stored persistently until data deletion is requested.

4. Supporter (Patreon & Ko-fi) Data

• When Patreon links your supporter role to Discord, we detect your tier via your Discord role(s) and store your tier, associated role and guild IDs, and reward markers (welcome and weekly stipend tracking) so rewards are granted correctly and not duplicated.
• Reward grants are recorded in an append-only reward log tied to your User ID for accounting and support.

How We Use Your Data

Your data is used solely to:

• Provide core bot functionality (commands, spawns, interactions, configuration).
• Manage game systems (collection, inventory, economy, banking, gambling, pets, farming, skills, achievements, marketplace).
• Track votes, calculate streaks, award Voter Chests, and send reminders.
• Detect supporter tiers and distribute the correct Patreon/Ko-fi rewards.
• Calculate leaderboards and distribute rewards.
• Improve Bot functionality by analyzing aggregated, anonymized usage data.

Data Storage and Security

Where Data Is Stored

Persistent data is stored in a PostgreSQL database hosted on Supabase. Static game catalogs (items, achievements, useables) are defined in configuration and mirrored into the database.

Duration of Storage

• Game & Economy Data: Stored indefinitely until cleared by the user or a deletion request.
• Vote & Supporter Data: Stored indefinitely until deletion is requested.
• Spawn State: Stored temporarily for operational needs and cleaned up on restart.

Backup System

The Bot maintains backups of persistent user data for disaster recovery. A limited number of recent backups are retained.

Data Security

We implement reasonable technical and administrative security measures to protect your data from unauthorized access, alteration, disclosure, or destruction. No online service can be 100% secure.

Third-Party Services

The Bot utilizes third-party services that may process your data:

• Discord API: Required for all bot interactions. Subject to Discord's Privacy Policy.
• Top.gg API & Webhooks: Tracks votes, streaks, and rewards. Subject to Top.gg's policies.
• Supabase (PostgreSQL hosting): Stores persistent bot data. Subject to Supabase's privacy and security policies.
• Patreon & Ko-fi: Process voluntary contributions and, in Patreon's case, supply supporter role information via Discord. Subject to their respective privacy policies.

Your Rights

You have the right to:

• Request access to stored game data (for example via /profile, /inventory and /checkprogress).
• Request deletion of your game data (contact the development team).
• Disable vote and cooldown reminders through /settings or provided buttons.
• Opt out by removing the Bot from your server or discontinuing use.
• Contact us with questions or concerns about your data.

Data Deletion

• Collection, economy, pet, farming, achievement, and progression data can be deleted upon request.
• Server administrators can manage per-guild configuration (spawn channels, ping roles, reaction roles, premium channels).
• Vote and reminder preferences can be updated via /settings or buttons; full vote history deletion requires contacting the development team.

AI in Development

To aid in the development, maintenance, and improvement of AestherBot, AestheticSpartan may use artificial intelligence (AI) tools to assist with code generation, analysis, refactoring, and documentation. Any code or assets produced with AI assistance for the Bot remain the intellectual property of AestheticSpartan. AestherBot does not send your personal data to AI services as part of normal gameplay.

Changes to This Policy

We may update this Privacy Policy from time to time. Significant changes will be communicated by updating this page and potentially via in-bot announcements.

Legal Basis for Processing

• Consent: Provided when you add the Bot or use commands that require data processing.
• Legitimate Interest: Necessary to provide the Bot's core functionality, anti-abuse systems, and improvements.
• Performance of a Contract (Implicit): We process data to provide the services you request by interacting with the Bot.
